Terms & Conditions For Fixed Itinerary Group Tours

  • Accommodation
    • This is not a luxury / deluxe tour. We provide basic but safe and sanitized accommodation. Good to create enough long-lasting memories.
    • Stays would be arranged at hostels, homestays, or hotels. Stay would be 2-sharing or 3-sharing. If you have any specific requirement (no sharing, or 2 sharing for couples), it need to be informed at the time of booking.
    • Separate rooms for males and females, unless specified at the time of booking. Hostels may have mixed dormitories.
    • If you need deluxe / luxury accommodation, it can be provided, if feasible, at extra cost.
  • Absolutely No Littering
    • Strictly no littering during the entire tour. During commute, a trash bag in the vehicle should be used to dispose any trash. During trek, or at places of visit, keep the trash with you until you reach the vehicle/hotel and dispose it off in the trash bag.
    • No arguments against this will be tolerated. If you are found littering, you may not be allowed to continue with the tour with immediate effect. No refunds (neither partial nor full) if you are disqualified to continue with the tour.
  • No Smoking
    • Smoking is not allowed during the tour. If you want to smoke, you can do so at designated areas, away from the rest of the co-travellers, after informing the tour leader. You are expected to adhere to the timelines of the tour, and are expected to join the group back after agreed time with the tour leader.
    • Strictly avoid passive smoking of co-travellers / tour leaders.
    • Do not force co-travellers / tour leaders to smoke. Respect their decision.
  • No consumption of alcohol
    • Consumption of alcohol is not allowed during the tour. If you are interested, you can do so at your own cost after informing the tour leader.
    • Do not force co-travellers / tour leaders to consume alcohol. Respect their decision.
  • No illegal activities
    • Do not indulge in illegal activities, digress from the group, indulge in eve-teasing or physical/sexual assault. Any such activity will result in abandonment of the accused with immediate effect. He / she will be blacklisted from ‘Plan That Travel’ and will not be allowed to travel with us in future.
    • No refund (neither partial nor full) will be entertained if you are blacklisted.
  • Respect your co-traveller, tour / trek leader, tour co-ordinator
    • Travellers should respect other travellers in the group. Avoid discussions on sensitive topics, abusive / foul language.
  • Safety
    • Travellers are responsible for their own safety
    • Travellers are responsible for their belongings
    • Plan That Travel’ is not responsible for any loss or damage of any personal belongings, sickness, contracting a disease, accidents, injuries or death either during or after the tour.
  • Health Conditions
    • Traveller should be transparent about any health issues. Certain tours/treks require physical fitness. If you are unsure about your fitness (or if you are vulnerable to high altitude sickness or sea sickness), please consult your doctor before booking your trip. ‘Plan That Travel’ is not responsible for any untoward incidents that happen due to travelers’ health issues.
    • Doctor’s certificate may be mandatory for certain tours/treks. Travelers will not be allowed to join the trip/trek if they do not produce the certificate from registered doctor. No refunds will be given in such a case.
    • Your tour leader may ask you to discontinue the trek/tour in case you fall sick or become vulnerable to any sickness (high altitude sickness, sea sickness or any other). If required, evacuation may be done, and the cost for the same has to be borne by the traveller.
    • No refunds will be given if the traveller cannot continue with the tour due to traveller’s health issues.
  • Unforeseen Issues
    • Changes in itinerary may occur due to unforeseen circumstances like (but not limited to) bad weather, excessive rains, landslides, unforeseen restricted entry, traffic condition, protests, rallies etc. All efforts will be made to cover places mentioned in the itinerary but anticipate changes in case of such situations. The decision of tour/trek lead is final, and travellers should abide by it. No refund will be issued in case of any changes.
    • Any additional costs due to sickness / bad weather / traffic delays / flight or train cancellations / flight or train rescheduling etc will have to be borne by the traveller.
    • Plan That Travel’ is not responsible if the traveller misses the train / flight / bus / onward mode of travel after the tour ends. Any additional expenses to reschedule or new booking should be borne by the traveller.
  • Fixed itinerary
    • The itinerary is fixed. No changes will be entertained. All travellers have to adhere to the time specified by the tour/trek lead.
    • If traveller wants to visit more places during the extra time, he/she can do so by making own arrangements.
    • If the traveller decides not to visit a place during the tour for any reason, no refund would be given.
  • External Services
    • Plan That Travel’ uses services from other companies / businesses / freelancers for (not limited to) accommodation, travel, food, guide/co-ordinators, entertainment etc. ‘Plan That Travel’ is not responsible for any disputes / concerns arising out of the external services.
    • Any additional invoices / services used should be borne by the travellers on direct payment basis.
  • Decision of tour/trek leader is final. All travellers have to abide by tour/trek leaders’ decision.

Terms & Conditions For Customised Tours

  • Absolutely No Littering

    • The amount mentioned while booking is for the itinerary agreed upon. Mild changes can be done if there is no change in the price.
    • If traveller wants to visit more places during the extra time, he/she can do so by making own arrangements.
    • If the traveller cancels to visit a place during the tour for any reason, no refund would be given.
  • External Services
    • Plan That Travel’ uses services from other companies / businesses / freelancers for (not limited to) accommodation, travel, food, guide/co-ordinators, entertainment etc. ‘Plan That Travel’ is not responsible for any disputes / concerns arising out of the external services.
    • Any additional invoices / services used should be borne by the travellers on direct payment basis.
  • Decision of tour/trek co-ordinator is final. All travellers have to abide by tour/trek co-ordinator’s decision.

Cancellation Policy

Cancellation by ‘Plan That Travel’

  • Plan That Travel’ may cancel the group trip if there are no minimum number of bookings, or due to bad weather, or due to any unforeseen event. In such a case, a full refund (excluding the bus/train cancellation charges, if any) will be given.
  • Plan That Travel’ may cancel the customised trip due to bad weather, or due to any unforeseen event. In such a case, a full refund (excluding the non-refundable portion, if any) will be given.
  • No refund will be given if you are not allowed to join the trip when you show any COVID-19 symptoms or if you fail to provide the mandatory doctor’s certificate.

Cancellation by the traveller(s)

  • Plan That Travel’ may cancel the group trip if there are no minimum number of bookings, or due to bad weather, or due to any unforeseen event. In such a case, a full refund (excluding the bus/train cancellation charges, if any) will be given.
  • No refund (neither partial nor full) will be given once the agreed tour begins.
  • No refund will be given if you are not allowed to join the trip when you show any COVID-19 symptoms or if you fail to provide the mandatory doctor’s certificate.
  • Certain tours may include a partial non-refundable amount. That amount is not refundable for any reason.
  • For shorter tours (3 nights or lesser)
    • No refunds (neither partial nor full) will be given 48 hours prior to the tour start time (irrespective of the reason).
    • If the tour is cancelled between 2-10 days before tour start time, 50% of the amount will be refunded.
    • If the tour is cancelled before 10 days of tour start time, full amount will be refunded.
  • For longer tours (4 nights or longer)
    • No refunds (neither partial nor full) will be given 7 days before the tour starts.
    • If the tour is cancelled between 8-15 days before tour start date, 50% of the amount will be refunded.
    • If the tour is cancelled before 16-29 days of tour start date, 90% of the amount will be refunded.
    • If the tour is cancelled before 30 days of tour start date, full amount will be refunded.
  • For cancellation of air / train / bus / cab bookings, please refer the cancellation policy on the voucher.

COVID-19 Safety Measures and Guidelines

We understand you may have concerns of safety while travelling during these COVID-19 times. We have taken numerous precautions to keep the virus at bay (see below). Having said that, following guidelines strictly is the responsibility of every traveller. Be a responsible traveller and abide by the guideline.

From ‘Plan That Travel’

  • Usage of cleaned / sanitized vehicle for local transportation
  • Daily temperature check (with contactless thermometer)
  • Daily oxygen level check (with pulse oximeter)
  • Stay at cleaned / sanitized hotel / hostel / homestay / camp only

For Traveller(s)

  • For group trips, practice social distancing within the group
  • Wear good quality face masks at all times. Carry enough masks required for the entire trip.
  • Carry enough napkins/tissue papers. Whenever you feel like sneezing or coughing, use a tissue/napkin to cover your nose and mouth. Discard the same in your trash bag.
  • Carrying of a hand sanitizer is mandatory and keep it handy at all times. Sanitize your hands after touching any common items, like door handles, windows, tables etc.
  • Preferably, carry and use your own towels, blankets, bedsheets.
  • Share your travel history of the last 15 days with ‘Plan That Travel
  • If you exhibit any of COVID-19 symptoms during the trip, inform the lead immediately.
  • If you are tested COVID-19 positive within 15 days after trip completion date, please inform ‘Plan That Travel’ immediately. This will help alerting your fellow travelers.
  • It may be mandatory to provide COVID-19 negative certificate for certain trips / destinations. 
  • Please note that the rules and restrictions keep changing depending on the number of active COVID-19 cases in the region. Also, the local administration may impose curfew, night curfew, Section 144 without advance notice. Please anticipate changes while travelling during these COVID-19 times.

We know you are eager to travel. But it is important to follow the guidelines and be responsible while travelling.
